Époxy Xpert

Privacy policy

This policy explains how EpoxyXpertInc. (“Époxy Xpert”, “we”) handles personal information submitted on this website, including when you request a quote. It also covers communications and follow-up related to your project.

1. Contact us about privacy

For a question, a request concerning your information or a complaint, contact Époxy Xpert management — the person responsible for protecting personal information.

2. Information collected and why we use it

  • Quote request: name, email, phone number, city, project and space type, preferred finish, estimated area, floor condition and timing. We use this information to understand your needs, prepare an estimate and contact you.
  • Optional photos: images and filenames help assess the floor's condition. Original files may contain metadata, including the date or location. Remove this information if you do not want to share it, and avoid faces, documents and personal belongings.
  • Project follow-up: request status, communications, appointments, job-site address and useful notes when added to the file.
  • Administrator accounts: identifier, name, email when applicable, role and a hashed password to secure access to customer records.
  • Operation and security: IP addresses are used to protect against abusive submissions. Technical providers may also process connection data, such as request date, browser and requested page, to deliver and secure the service.

Required fields are identified in the form; photos are optional. Without the necessary information, we cannot process an online request. You may also call us.

3. Your choices when submitting a request

Submitting the form asks Époxy Xpert to process your project and contact you using the information supplied. It does not subscribe you to a newsletter. Photos submitted for an estimate are not automatically authorized for publication in our portfolio.

You may ask us to stop following up or withdraw consent for future use. Some information may need to be retained for a legal obligation, contract or dispute. Withdrawal may limit our ability to continue the requested services.

4. Who may receive your information?

Requests and photos are saved in the website's management area. Authorized Époxy Xpert accounts and the authorized technical administrator may access them according to their roles. Providers required for hosting, storage and communications support technical processing.

The website is hosted through ChatGPT/OpenAI Sites and uses Cloudflare infrastructure to operate and store records and photos. If you email us, the email provider also processes your message. Some fonts are loaded from Fontshare, which means your browser sends technical connection information, including your IP address. Barlow Condensed is served directly by this website.

These services may process information outside Québec. This policy does not guarantee hosting exclusively in Québec or Canada. Contact the privacy officer for information about providers involved in your file.

The form does not sell your information or send it to an advertising network. Disclosure may nevertheless be required by a legal obligation or to assert rights, within the limits permitted by law.

5. Retention and protection

Information is used while assessing the request and, if you become a customer, following up on the contract. The applicable retention period depends on the file, warranties, legal obligations and any dispute. Records are not automatically deleted when the form is closed. You may ask the privacy officer about the period applicable to your file and request deletion, subject to retention obligations.

Access to requests and photos is controlled by sign-in and roles. Local account passwords are hashed, photos are not available at a public address, and the website uses HTTPS. No electronic transmission or storage can be guaranteed risk-free.

6. Your rights and complaints

You may request access to and correction of your information and, when the legal conditions are met, a copy in a structured, commonly used technological format. You may also request withdrawal of consent, an end to a use, or deletion of information, subject to legal exceptions.

Write to the privacy officer with your request and the contact details used for your project. Proportionate identity verification may be needed; do not send identification unless requested. The legal response period for an access or correction request is 30 days from receipt.

For a complaint, describe the situation, its date and the response you seek. The privacy officer may request clarification and inform you of the review's outcome. If you are dissatisfied, you may contact Québec's Commission d’accès à l’information.

7. Cookies, links and external services

No behavioural advertising or audience measurement tool is installed in the current application. Links to other websites open services governed by their own policies. When access is protected by ChatGPT sign-in, processing related to that platform is also governed by its terms and privacy policy.

8. Changes

Material changes will be noted on the website. If a new use requires consent, we will request it before that use.
